How to make a professional phone greeting
- Write the scriptStart with one of the sample scripts below. Keep greetings under 20 seconds and menus to four or five options.
- Pick a clear, friendly voiceChoose a warm American (or local-accent) voice. Slightly slower speed improves clarity over phone lines.
- Generate and downloadEnter the 5-digit code, generate and download the MP3. Make one file per prompt: greeting, menu, after-hours and hold message.
- Upload to your phone systemUpload the audio in your VoIP or business phone dashboard. If your system requires WAV, convert the MP3 with a free audio editor first.
Sample business phone scripts
Copy, customize and paste. Commas and full stops create natural pauses between options.
- Main greeting (small business): “Thank you for calling Riverside Dental. We’re helping other patients right now, but your call is important to us. Please stay on the line, and a member of our team will be with you shortly.”
- IVR menu: “Thank you for calling Summit Plumbing. For new service appointments, press one. For billing questions, press two. For emergency repairs, press three. To hear these options again, press nine.”
- Bilingual prompt: “For English, press one. Para español, oprima dos.” (Generate the Spanish part with a native Spanish voice.)
- After-hours message: “You’ve reached Green Valley Insurance. Our office is open Monday through Friday, from nine a.m. to five p.m. Eastern. Please leave your name, number and a brief message; we’ll return your call the next business day.”
- Personal voicemail: “Hi, you’ve reached Jordan Lee. I can’t take your call right now, but leave a message and I’ll get back to you as soon as I can.”
- Holiday closure: “Happy holidays from Maple Street Realty! Our office is closed from December twenty-fourth through December twenty-sixth. We’ll reopen on Monday, December twenty-ninth.”
On-hold messages that keep callers listening
Silence on hold makes callers hang up. A short loop of helpful messages, alternating with music, makes the wait feel shorter and can even promote your services. A good on-hold message is 15 to 30 seconds long and gives the caller something useful:
Thanks for holding. Did you know you can book appointments online, twenty-four seven, at riversidedental dot com? Your call will be answered by the next available team member.
While you wait, ask us about our free spring furnace tune-up for returning customers. We appreciate your patience; someone will be with you shortly.
Create a background loop with the AI Music Generator (instrumental, calm, light piano works well), then mix the voice messages over it with a few seconds of music between each.
Phone prompt cheat sheet
| Prompt type | Ideal length | Tip |
|---|---|---|
| Main greeting | 8–15 seconds | Say the company name first so callers know they dialed correctly |
| IVR main menu | 15–25 seconds | Put the most common option first; keep it to five choices or fewer |
| After-hours message | 15–25 seconds | Include your hours and time zone, plus an emergency option if you have one |
| On-hold message | 15–30 seconds each | Rotate 3–5 messages with music in between |
| Voicemail box | 5–10 seconds | Friendly, short and ends with a clear instruction |
Phone lines carry less audio detail than headphones, so choose voices with crisp diction and avoid very fast speeds.
